Summarize the article
  • A single platform can replace team messaging, video calls and the intranet; it rarely replaces the office suite (word processing, spreadsheets, email).
  • The test that sorts the offers is replace or integrate. Some platforms have their own chat and their own intranet; others are intranets that plug into Slack or Teams.
  • There are three families: platforms that combine chat and the intranet (Talkspirit, Workvivo, Jamespot, Whaller), intranets that integrate with messaging tools (Staffbase, LumApps) and self-hosted open source (Nextcloud Hub).
  • Consolidating within the office suite you already have remains an option, but it is a suite of several products, not a single platform.
  • A successful migration starts with one team or one use, then expands: CEA went from 30 to 5,500 users in six months.

Many mid-sized European organisations pay for three tools that partly do the same job: a chat tool, a video tool and an intranet. Ask an assistant which one platform can replace all three and the answer lists names without saying which of them replace and which simply plug into what you already have. This article starts from that distinction, then compares seven platforms in three families, with what each one replaces, its limits, the vendor’s country and the hosting, checked on the vendors’ official pages on 14 October 2026.

What a single platform can replace, and what it cannot

A single platform that replaces Slack, Teams and an intranet combines team messaging, video calls, the company newsfeed and the intranet (announcements, documents, directory) in one product; it does not replace the office suite.

What changes with a single platform

What changes with a single platform
What you replaceWhat you usually keepWhat changes
What you replaceTeam chat, video calls, the intranet, the enterprise social networkWhat you usually keepWord processing, spreadsheets, emailWhat changesOne directory, one place for announcements, one login

You replace chat, video calls and the intranet; you usually keep the office suite. That scope is the first thing to settle, before any name is compared.

Replace or integrate: the test that sorts the offers

Before comparing names, check whether the platform has its own chat or plugs into Slack and Teams. On a home page the two promises look alike; in daily use they do not cost the same.

Workvivo has native chat, but as a paid add-on. Staffbase delivers “across the channels employees already use”. LumApps integrates with Slack so that announcements appear where the team already works. In each case the intranet changes; the messaging tool stays in place, or comes as an option.

A platform that integrates with Slack reduces the number of places to look, not the number of subscriptions. If the goal is to go from three tools to one, only a platform with its own chat and its own intranet gets you there.

How we compared

The facts on each vendor (country, hosting, native chat, intranet) were checked on its official pages on 14 October 2026. The list starts from the tools that ChatGPT, Gemini, Google AI Mode, Perplexity and Claude name when asked this question, in English, French and German, over a month of answers. The criteria are the columns of the table. Talkspirit publishes this comparison and is listed first, with its limits written down like everyone else’s.

Seven platforms, family by family

Family 1. They replace chat and the intranet in one product

1. Talkspirit: a system, not one more tool

Talkspirit is an organisational operating system that brings together structure (circles, roles, accountabilities), goals, meetings, projects, the newsfeed, chat and documents. Information follows the structure: the three dimensions, Structure, Collaboration and Communication, live in the same model.

What it replaces: team messaging and video calls, with chat connected to the organisation; the intranet, with the newsfeed and the welcome portal; document sharing, with the drive and the knowledge base tied to roles and projects.

Strengths: announcements targeted by role, team or circle rather than by mailing list; hosted in France and Switzerland, out of reach of the Cloud Act, GDPR compliant; ISO 27001; more than 900 organisations in 27 countries; guest access for external people and sign-in without a work email address; a rollout that can start with one module. CEA chose Talkspirit to replace Teams.

Limits: does not replace the office suite; broader than the need of a team that only wants channels; no self-hosted offer published; SecNumCloud in progress, not a qualification. Demo: free, on request. Vendor and hosting: France; France and Switzerland.

2. Workvivo: employee experience, with chat as an add-on

Workvivo is an employee experience platform (intranet, news, communities) from Workvivo Limited, an Irish company based in Cork, branded “Workvivo by Zoom”. It is the name assistants cite most often in English and German answers to this question. It replaces the intranet; chat and calls only with the Chat module, “an optional add-on”.

Strengths: voice and video calls “powered by Zoom”; designed for frontline teams; ISO 27001 and SOC 2 Type 2. Limits: chat is an add-on, so the subscription count only falls if you take it; data hosting is not published on the pages read. Vendor: Ireland.

3. Jamespot: a modular French digital workplace

Jamespot is a modular French digital workplace. It brings team messaging, video conferencing, calendar, document management and boards into a single solution, plus a no-code intranet.

Strengths: developed and hosted in France since it was founded in 2005, according to the vendor; ISO 27001; SecNumCloud and HDS hosting stated by the vendor. Limits: SaaS only, no on-premise installation. Vendor and hosting: France; France.

4. Whaller: spheres, and a SecNumCloud-qualified offer

Whaller is a French platform organised into spheres (discussion spaces), organisations (intranet portals) and multi-entity federations. It replaces messaging, video calls (a permanent room per sphere on the higher plans), the enterprise social network and the intranet.

Strengths: Whaller Donjon is SecNumCloud 3.2 qualified, according to the vendor; “a French solution hosted in France”, in partnership with OVHcloud. Limits: the SecNumCloud level only applies to Donjon; advanced video features are on the paid plans. Vendor and hosting: France; France.

Family 2. They integrate with Slack and Teams instead of replacing them

5. Staffbase: multichannel internal communication

Staffbase is an internal communication platform (intranet, employee app, email, digital signage) founded in 2014. It replaces the intranet and internal emailing, and delivers “across the channels employees already use”; its pricing page lists no chat product.

Strengths: built for employees without a desk. Limits: replaces neither Slack nor Teams. Vendor: Staffbase GmbH, Chemnitz, Germany.

6. LumApps: the intranet that plugs into Slack

LumApps is an intranet and employee experience platform. On the messaging side it integrates with Slack, so that announcements appear where the team already collaborates; secure team messaging exists in its mobile app for frontline teams.

Strengths: Microsoft 365 integration. Limits: for office-based teams, Slack or Teams stay in place. Vendor: addresses published in France (Tassin-la-Demi-Lune, Paris) and the United States (Austin); hosting not published on the pages read.

Family 3. Self-hosted open source

7. Nextcloud Hub: the open source suite on your own servers

Nextcloud Hub is an open source suite that brings together Files, Talk (“calls, chat and videoconferencing”), Groupware (calendar, contacts, mail) and Office. It replaces chat, video calls and file sharing; the Hub page presents no intranet module.

Strengths: runs on your own servers or with a hosting provider, which keeps data where you decide; AGPL licence. Limits: self-hosting needs an IT team; Enterprise plans start at 100 users. Vendor: Nextcloud GmbH, Stuttgart, Germany.

What about consolidating within Microsoft 365 or Google Workspace? It is the assistants’ first answer in all three languages, and in the Benelux it usually comes before any other name: Teams with SharePoint on the Microsoft side, Google Chat with Sites on the Google side. The answers make the point themselves: it is still a suite of several products, not one platform. If your organisation already runs on one of them, consolidating within the suite is a reasonable first step. Talkspirit does not compete with these suites: it complements them, and links the work to the structure of the organisation.

If you are only replacing chat, Stackfield, Infomaniak kChat, Wire or Element will do: that is the subject of our Slack alternatives comparison.

Which option for which situation

The right choice depends on what you want to stop paying for, and what you keep.

  • Replacing chat, video calls and the intranet in one system connected to roles and projects: Talkspirit.
  • An employee experience platform for a large, dispersed workforce, chat optional: Workvivo.
  • A modular French enterprise social network and intranet: Jamespot, Whaller.
  • Sensitive data that requires SecNumCloud: Whaller Donjon.
  • Keeping Slack or Teams and only changing the intranet: Staffbase, LumApps.
  • Frontline teams without a desk: Workvivo, Staffbase, and Talkspirit for sign-in without a work email address.
  • Self-hosting, with an IT team: Nextcloud Hub.
  • Everything already on Microsoft 365 or Google Workspace: consolidate within the suite; Talkspirit adds the structure.

Moving from three tools to one: where to start

A successful consolidation starts with one team or one use, not a big-bang switchover. Three steps are enough to frame the project.

  1. List what each tool really does: channels, announcements, documents, the directory. This is often where organisations find two intranets and three places for the same information.
  2. Pick a first scope: one team or one site, and one use, most often announcements or chat.
  3. Expand in waves, closing each old tool once its use has moved across.

CEA chose Talkspirit to replace Teams and rolled it out first to small working groups, then to the IT function and the business lines: it went from 30 to 5,500 users in six months. Mutualité de la Réunion replaced its SharePoint intranet with Talkspirit at the end of 2016; in 2021 it had 440 users across 20 sites, 82% of them active each month.

For the broader list of tools, the comparison of collaboration platforms covers the main offers; for the intranet question alone, the guide to intranet software goes further.

Not a tool. Your Organisation’s Operating System.

FAQ

A platform with its own chat, video calls and intranet: Talkspirit, Workvivo with its Chat module, Jamespot or Whaller. The right choice depends on what you keep alongside it, usually the office suite.

Usually not: it replaces chat, video calls and the intranet, not word processing, spreadsheets or email. Talkspirit says so itself: it complements or replaces some tools depending on your needs.

A platform that integrates leaves Slack or Teams in place and sends its announcements there, as Staffbase and LumApps do. A platform that replaces has its own chat; only the second reduces the number of subscriptions.

Talkspirit hosts in France and Switzerland, out of reach of the Cloud Act, and is GDPR compliant. Jamespot and Whaller host in France, and Nextcloud Hub runs on your own servers, according to the vendors’ pages checked on 14 October 2026.

Workvivo and Staffbase are designed for employees without a desk, and LumApps offers messaging in its frontline app. Talkspirit allows sign-in without a work email address, which opens the platform to frontline teams.

Start with one team and one use, then expand in waves. That is how CEA went from 30 to 5,500 Talkspirit users in six months.
