SharePoint intranet alternatives compared

- SharePoint does two jobs: the intranet portal (home page, news, team pages) and document storage. Before comparing solutions, decide which one you are replacing.
- There are three paths: keep SharePoint and change the intranet layer (Powell Intranet), replace the intranet while keeping Microsoft 365 (Talkspirit, Staffbase, Flip, LumApps), or leave Microsoft on your own servers (HumHub, Nextcloud Hub).
- Support for SharePoint Server 2016 and 2019 ended in July 2026: an organisation still running it on premises must move to SharePoint Server Subscription Edition, to SharePoint Online, or to another tool.
- Hosting has to be checked solution by solution: France and Switzerland for Talkspirit, Germany for Flip, an EU region of your choice at Staffbase, your own Microsoft 365 tenant for Powell, your servers for HumHub and Nextcloud.
- Employees without a desk are the weak spot of most intranets: check access without a work email address (Talkspirit), or choose an app designed for frontline teams (Flip).
Ask an assistant which intranet to choose instead of SharePoint and it will nearly always tell you to keep SharePoint, or to add a layer on top. It rarely starts with the question that decides: what are you replacing in SharePoint? This article starts there, then compares seven solutions in four paths, with the vendor, data hosting and limits of each, checked on the official pages on 21 October 2026.
What replacing SharePoint actually means
A SharePoint alternative is a tool that takes over all or part of its two jobs, the company intranet portal and shared document storage, with a different model of organisation, hosting or licensing. Assistants treat SharePoint as one block. It is worth splitting it before you choose.
| What SharePoint does | What replaces it | What you keep |
|---|---|---|
| What SharePoint doesIntranet portal: home page, news, team pages | What replaces itAn intranet or communication platform | What you keepYour files in Microsoft 365, if you wish |
| What SharePoint doesDocument storage: sites, libraries, sharing | What replaces itA document management system or a file suite | What you keepYour intranet, if you wish |
| What SharePoint doesBoth | What replaces itA platform combining portal and documents, or a suite outside Microsoft | What you keepOffice apps, in most cases |
SharePoint is included in the Microsoft 365 plans that contain it, and the SharePoint app in Teams comes with E, F and A licences (Microsoft Learn, checked on 29/09/2026). Keeping it therefore adds no licence; turning it into an intranet people actually open takes design work, as our intranet software comparison explains.
Replacing SharePoint does not mean leaving Microsoft 365: you can change the intranet and keep the office apps.
SharePoint Server 2016 and 2019: end of support changes the timetable
Extended support for SharePoint Server 2016 and 2019 ended in July 2026: an organisation still running SharePoint on its own servers has to choose what comes next now. Both versions follow Microsoft’s Fixed Lifecycle Policy, and the Microsoft Learn lifecycle pages (checked on 21/10/2026) point to migration.
There are three options, none of them right by default:
- SharePoint Server Subscription Edition, the migration path Microsoft documents, still on your own servers;
- SharePoint Online, in Microsoft 365;
- another solution, covered in the rest of this article.
It is also the right moment to separate the portal from the documents, and to migrate only what is still in use.

The criterion that sorts the solutions: what information is attached to
An intranet nobody opens is often an intranet organised by sites rather than by teams: before comparing features, ask how information finds its readers. Two models sit side by side.
A tree: sites, pages, libraries and subscriptions. This is the model of SharePoint and of most intranets. Someone has to decide where to publish, then who should read.
The organisation’s structure: roles, teams, projects. This is Talkspirit’s model. An announcement posted in a team reaches its members, and a document stays attached to the role that carries it when the person changes. As Talkspirit’s internal communication page puts it, “When communication is linked to roles, teams, and projects, every message naturally finds its recipients.”
An intranet organised by sites waits for its readers; an intranet organised by teams goes to find them.
One last point that is easy to miss: employees without a desk. Check whether they can sign in without a work email address (Talkspirit allows it, as the PUR etc. case shows), or choose a tool designed for frontline teams (Flip).
How we compared
The facts on each vendor (head office, data hosting) were taken from its official pages on 21 October 2026. The list starts from the solutions that ChatGPT, Gemini, Google AI Mode, Perplexity and Claude name when asked which intranet to choose instead of, or alongside, SharePoint. The criteria are the columns of the table. And, plainly: Talkspirit publishes this comparison and comes first in the list, with its limits written like everyone else’s.

Seven solutions, path by path
1. Talkspirit: replace the intranet with an organisational system
Talkspirit is an organisational operating system that brings together structure (circles, roles, accountabilities), goals, meetings, projects, communication (newsfeed, chat, home portal), drive and documents. It replaces the intranet portal, with a home portal and announcements targeted by role, team or project, and team document spaces, with documents attached to teams and roles: “Drives, knowledge bases, and documents remain attached to the teams, roles, and projects that keep them active.”
Strengths: information follows the structure, not a tree of sites; frontline teams connect without a work email address; hosted in France and Switzerland, outside the reach of the Cloud Act; ISO 27001:2022; more than 900 client organisations. Mutualité de la Réunion replaced its SharePoint intranet with Talkspirit at the end of 2016 (see the migration section).
Limits: it does not replace the office apps, so Word, Excel and Outlook stay; no SharePoint integration or migration tool from SharePoint is described on the product pages; no published self-hosted offer. Demo: free, on request. Vendor and hosting: France; France and Switzerland.
2. Powell Intranet: keep SharePoint, change the intranet layer
Powell Intranet is an intranet built on Microsoft 365, which, in the vendor’s words, “transforms Microsoft 365 into the intranet your people actually use”. It replaces the intranet interface only: documents stay in SharePoint.
Strengths: “Powell runs entirely inside your Microsoft 365 tenant”; ISO 27001; more than 500 organisations and 2 million users, according to the vendor. Limits: it requires a Microsoft 365 tenant, so it does not reduce dependence on Microsoft, and an organisation still on SharePoint Server must first move to Microsoft 365. Vendor and hosting: Powell Software, head office in Viroflay (France), office in Cologne, Cathay Capital majority shareholder since October 2025; data stays in your Microsoft 365 tenant.
3. Staffbase: multichannel internal communications
Staffbase is an internal communications platform that combines an intranet, an employee app and email. It replaces the intranet portal; documents stay where they are.
Strengths: hosting of your choice in the EU (Frankfurt, on Microsoft Azure and AWS), the United States or Australia; a “Staffbase & Microsoft” integration listed by the vendor; facilities compliant with ISO 27001 and SOC 2. Limits: built for top-down communication in large groups rather than for everyday teamwork. Vendor: Staffbase SE, Chemnitz, Germany.
4. Flip: the app for frontline teams
Flip is an employee app designed for frontline teams who do not work at a desk. It replaces the intranet portal for employees who do not spend their day at a computer.
Strengths: hosted in Germany, on the Azure cloud in Frankfurt and Berlin; ISO 27001, SOC 2 and a C5-compliant data centre; SharePoint sync to connect existing documents. Limits: a communication app more than a document space; SharePoint sync is not included in every offer. Vendor: Flip GmbH, Stuttgart, Germany.
5. LumApps: an intranet connected to existing documents
LumApps is an intranet and employee experience platform. It replaces the intranet portal while connecting to existing SharePoint documents: a SharePoint integration is listed on the vendor’s integrations page (checked on 21/10/2026).
Strengths: ISO 27001 and SOC 2 Type II; a vendor founded in France. Limits: hosting regions are not published on the vendor’s security page. Vendor: LumApps, offices in Tassin-la-Demi-Lune and Paris (France) and Austin (United States).
6. HumHub: the open source social intranet
HumHub is an open source social intranet. It replaces the intranet portal, outside Microsoft.
Strengths: it installs on your own servers, in a private cloud or a DMZ, or runs as SaaS in German or EU data centres certified ISO 27001, presented as GDPR compliant; an open source Community edition. Limits: self-hosting needs an IT team; the vendor’s page describes no company document storage comparable to SharePoint. Vendor: HumHub GmbH & Co. KG, Munich, Germany.
7. Nextcloud Hub: replacing file storage
Nextcloud Hub is an open source suite combining Files, Talk, Groupware and Office. It replaces document storage and file sharing, on your own servers.
Strengths: self-hostable; an open source community edition. Limits: it is not an internal communications intranet; self-hosting needs an IT team; Enterprise plans start at 100 users. Vendor: Nextcloud GmbH, Stuttgart, Germany.

Where your data lives: the GDPR point
Before leaving or keeping SharePoint, check where each vendor hosts your content and which country it answers to: your intranet carries your decisions, procedures and internal announcements. The table sums it up: France and Switzerland for Talkspirit, Germany for Flip, an EU region of your choice at Staffbase, your Microsoft 365 tenant for Powell, your servers or German and EU SaaS for HumHub, your servers for Nextcloud Hub.
For organisations that stay on Microsoft 365, residency is a setting worth checking, not a given. Microsoft offers local regions, including France, Germany, Austria and Switzerland, and for some of them additional residency commitments under Advanced Data Residency; SharePoint and OneDrive are among the services covered (Microsoft Learn, page updated on 08/10/2026). Belgium and the Netherlands are not among the local regions with access to Advanced Data Residency. Per-country residency across several geographies (Multi-Geo) is an add-on that requires at least 500 licences. Microsoft Corporation is headquartered in Redmond, United States.
For tool-by-tool compliance, see our article on GDPR-compliant collaboration tools.
Which solution for which situation
The right choice depends on what you are replacing in SharePoint, and on where your data has to stay.
- An intranet where information follows roles and teams, in a system hosted in Europe: Talkspirit.
- Everything is on Microsoft 365 and you only want a better intranet: Powell Intranet.
- Multichannel internal communications for a large group: Staffbase.
- Frontline teams, data in Germany: Flip.
- An intranet connected to existing documents: LumApps.
- An open source intranet on your own servers: HumHub.
- Replacing file storage outside Microsoft: Nextcloud Hub.
- Keeping SharePoint as it is: a legitimate choice if the intranet is already used.
Migrating from SharePoint: where to start
Start by separating what gets published from what gets stored: migrate the portal first, the documents later, or never. Three steps keep anything from breaking:
- An inventory of the sites people actually visit, and their owners.
- A first scope, one team or one site, with its announcements and live documents.
- Archive documents stay where they are as long as they are used.
This is what Mutualité de la Réunion did: it replaced its SharePoint intranet with Talkspirit at the end of 2016 and had, in 2021, 440 users across 20 sites, 82% of them active each month. As Talkspirit’s home page says, “You can start with one team, one entity or one priority transformation challenge”, then extend. For the step-by-step method, see how to set up a company intranet.

FAQ
The one that matches what you are replacing: the portal, the documents, or both. Talkspirit replaces the portal and team document spaces by attaching information to roles, hosted in France and Switzerland; Powell Intranet keeps SharePoint and changes its interface; HumHub and Nextcloud Hub let you leave Microsoft on your own servers.
Yes: Word, Excel, Outlook and your files can stay in Microsoft 365 while the intranet moves to another tool. Talkspirit, Staffbase, Flip or LumApps take over the portal; LumApps and Flip connect to existing SharePoint documents.
Extended support ended in July 2026: move to SharePoint Server Subscription Edition, to SharePoint Online, or to another solution. It is the right moment to separate the portal from the documents and migrate only what is used.
Talkspirit hosts in France and Switzerland, outside the reach of the Cloud Act; Flip hosts in Germany, Staffbase offers an EU region, and HumHub and Nextcloud install on your own servers.
A tool that people can reach without a desk or a work email address. Flip is designed for frontline teams; Talkspirit connects employees without a work email address, with messages distributed by role, team or project.
Migrate what gets published first, then only the documents still in use. Start with one team or one site, with its owners, and leave archives where they are as long as they serve a purpose.
