Nextcloud alternatives and complements for teams

- Nextcloud is an open source, self-hostable suite that brings together files, chat and video (Talk), calendar and mail (Groupware) and online office tools (Office); Enterprise subscriptions start at 100 users.
- Before looking for Nextcloud alternatives, identify the missing layer: the file layer (maintenance, performance), project management, or the organisation itself (roles, goals, decisions).
- To replace the file layer: Tresorit encrypts end to end, Infomaniak kSuite hosts exclusively in Switzerland, ownCloud and Pydio Cells install on your own servers.
- To complement Nextcloud without leaving it: Talkspirit adds the organisation layer (roles, circles, goals, projects, communication), hosted in France and Switzerland; OpenProject adds project management, with an official Nextcloud integration.
- Keeping Nextcloud and adding structure means running two systems side by side: Nextcloud keeps the files and office tools, the organisational system keeps who decides and who holds which role.
Ask an assistant which European collaboration tools a company should consider, and Nextcloud comes up almost every time: it is the default European reflex. The pages that list Nextcloud alternatives then compare file servers with each other. This article asks the question that sorts them first, which layer are you missing, then compares seven tools that either replace a Nextcloud layer or complement it, with the vendor and the hosting of each one, checked on the official pages on 21 October 2026.
Nextcloud alternatives: what Nextcloud covers, and what it does not
Nextcloud is an open source collaboration suite, published by Nextcloud GmbH in Stuttgart, that combines file storage and sharing, chat and video calls, calendar and mail, and online office tools, on your own servers or with a hosting provider. Its Hub page presents seven building blocks: Files, Talk, Groupware, Office, Assistant, Flow and Tables (nextcloud.com/hub, checked on 21/10/2026).
| Layer | Nextcloud Hub | What you need alongside |
|---|---|---|
| LayerFiles, sharing, sync | Nextcloud HubYes (Files) | What you need alongsideNothing, or a replacement if this layer is the problem |
| LayerOnline office tools | Nextcloud HubYes (Office) | What you need alongsideNothing |
| LayerChat and video | Nextcloud HubYes (Talk, optional in Enterprise subscriptions) | What you need alongsideNothing |
| LayerCalendar, contacts, mail | Nextcloud HubYes (Groupware) | What you need alongsideNothing |
| LayerProject management | Nextcloud HubNot presented on the Hub page | What you need alongsideA project tool (OpenProject) |
| LayerStructure: roles, circles, accountabilities, goals, decisions | Nextcloud HubNot presented on the Hub page | What you need alongsideAn organisational system (Talkspirit) |
The table does not say that Nextcloud cannot run a project: apps exist in its ecosystem. It says what the Hub page presents. Nextcloud stores the files; it does not say who is accountable for them.
Why look for an alternative: three different situations
Before replacing Nextcloud, identify what is wrong: the file layer, a missing project tool, or an organisation nobody has described. The three cases do not call for the same tool.
The file layer. Self-hosting needs an IT team for installation, updates and security. Below 100 users, the vendor points to Nextcloud One, a managed service hosted in Germany (vendor post of 14/05/2024). If running the server is what weighs, the question is whether to replace Files or move to a managed service.
Project work. The Hub page does not present project management: no work packages, Gantt charts or time tracking. A team that runs projects adds a dedicated tool, ideally one linked to the files it keeps in Nextcloud.
The organisation. Who decides, who holds which role, which goals each team follows: no file suite answers these questions, neither Nextcloud nor any of its replacements. It is a separate layer that storage and office tools do not cover. Before replacing Nextcloud, identify the layer you are missing.
How we compared
The facts about each vendor (head office, hosting, editions, minimum number of users) were checked on its official pages on 21 October 2026, unless another date is given. The list starts from the tools that ChatGPT, Gemini, Google AI Mode, Perplexity and Claude name alongside Nextcloud, and from those compared by “Nextcloud alternatives” pages. Each tool is classed by whether it replaces a Nextcloud layer or complements it. Talkspirit publishes this comparison and is at the top of the list, as a complement rather than a replacement, with its limits written like everyone else’s.

Complementing Nextcloud: two tools
1. Talkspirit: the organisation layer, alongside Nextcloud
Talkspirit is an organisational operating system that brings together structure (circles, roles, accountabilities), goals, meetings, projects, communication, drive, knowledge base and documents. What it adds to Nextcloud: the organisation layer, which Nextcloud does not present. In the site’s own words, “Drives, knowledge bases, and documents remain attached to the teams, roles, and projects that keep them active”, and when someone moves on, “Whoever takes over the responsibility immediately finds all the necessary context” (knowledge and document management).
Strengths: clear roles and accountabilities, connected to goals and projects; built-in chat and video; Spark, Talkspirit’s AI, draws on the organisation’s structure, roles and knowledge “while respecting the organisation’s access rights and governance”; hosted in France and Switzerland, beyond the reach of the Cloud Act; ISO 27001 certified; SecNumCloud in progress; more than 900 organisations. The home page puts the entry point simply: “Start with the capability you need today.”
Limits: Talkspirit does not replace a self-hosted file server; no published self-hosted offer; no office suite; no published Nextcloud integration, so the two tools run side by side. Demo: free, on request. Vendor and hosting: France; France and Switzerland.
2. OpenProject: project management linked to Nextcloud files
OpenProject is open source project management software: work packages, Gantt charts, agile boards, time tracking and meetings. What it adds to Nextcloud: project management, with an official integration. You link Nextcloud files and folders to work packages, open them from the Files tab, see from Nextcloud which work packages a file is linked to, and receive OpenProject notifications on the Nextcloud dashboard. The integration is part of the Community edition (“Nextcloud integration” documentation, checked on 21/10/2026).
Strengths: open source; on your own servers or in a European cloud, with infrastructure in France (checked on 24/09/2026). Limits: no chat described on the pages read; single sign-on with Nextcloud is an Enterprise add-on. Vendor: OpenProject GmbH, Berlin, Germany.
Replacing the file layer: four tools
3. Tresorit: end-to-end encrypted files, with no server to run
Tresorit is an end-to-end encrypted file storage and sharing service (“end-to-end encrypted content collaboration solutions”, tresorit.com/about-us, checked on 21/10/2026). What it replaces: Files, as SaaS, with no server to maintain.
Strengths: end-to-end encryption; a choice of data centre, depending on the offer; e-signature included. Limits: SaaS only on the pages read, no self-hosting; no office tools or video described. Vendor: Tresorit, founded in 2011, part of the Swiss Post group, with offices in Switzerland, Germany and Hungary.
4. Infomaniak kSuite: everything with a Swiss host
Infomaniak kSuite is a Swiss suite that brings together kDrive (storage and documents), mail, kChat, kMeet and document editing. What it replaces: Files, Office, Talk and Groupware, as SaaS, with no server to run.
Strengths: data “hosted and processed exclusively in Switzerland”; Infomaniak “designs and manages its own data centers in Switzerland” (infomaniak.com/en/ksuite, checked on 21/10/2026). Limits: SaaS only, no installation on your servers; no project management; the free offer is for individuals only. Vendor: Infomaniak, Geneva, Switzerland, majority-owned by its employees.
Switzerland is not in the European Union: a Swiss host answers to Swiss law, the Federal Act on Data Protection (FADP), which sits alongside the GDPR rather than under it. Check both when your organisation is based in the EU.
5. ownCloud: the other open source file server
ownCloud is an open source file sharing and sync platform; its current version is ownCloud Infinite Scale (owncloud.com, checked on 21/10/2026). What it replaces: Files.
Strengths: a Community edition that is “100% open source”, with no user limit; on your own servers, or as a managed service with ownCloud.online, hosted in Germany. Limits: no equivalent of Talk, Groupware or Office described on the pages read; Standard and Enterprise editions from 25 users, on quote. Vendor: ownCloud GmbH, Regensburg, Germany; Kiteworks (San Mateo, United States) announced its combination with ownCloud on 21/11/2023 (Kiteworks press release).
6. Pydio Cells: a French vendor, on your own servers
Pydio Cells is a self-hosted document sharing and management platform (“Cells is self-hosted”, pydio.com, checked on 21/10/2026). What it replaces: Files.
Strengths: a Home edition for home use and evaluation; AD and LDAP directories and single sign-on in the paid editions. Limits: no office tools or video described; self-hosting needs an IT team. Vendor: Pydio, a French company acquired by Wire in January 2025 (Wire announcement of 13/01/2025); the site carries the name Wire France SAS.
Replacing all collaboration: one tool
7. Stackfield: a German platform, as a managed service
Stackfield is a German platform that brings together team chat, tasks and projects, calendar and files (stackfield.com, checked on 21/10/2026). What it replaces: the collaborative use of Nextcloud (Talk, team files), with project management on top, as SaaS.
Strengths: data held in data centres in Germany, according to the vendor; BSI C5 and ISO 27001 (checked on 24/09/2026). Limits: SaaS only; group conferences depending on the offer; Office document editing as an add-on. Vendor: Stackfield GmbH, Munich, Germany.
To replace several tools with a single platform, see our article on the all-in-one collaboration platform. For a general list, see our comparison of European collaboration tools.
Where your data is hosted: the GDPR point
With Nextcloud, you choose where your data lives; with a managed service, the vendor does: check its country and its data centre. The table’s hosting column gives the answer tool by tool:
- On your own servers: Nextcloud, ownCloud, Pydio Cells, OpenProject.
- In Germany: Nextcloud One, ownCloud.online, Stackfield.
- In Switzerland: Infomaniak kSuite, and Talkspirit together with France.
- Data centre of your choice: Tresorit, depending on the offer.
The country of the head office matters as much as the country of the servers. ownCloud GmbH is in Regensburg, and Kiteworks, based in the United States, announced its combination with ownCloud in 2023. Keeping Nextcloud and adding structure: what it looks like
Keeping Nextcloud for files and adding an organisational system means separating what is stored from who is accountable for it. Nextcloud keeps the files, the office tools and video. Talkspirit holds the circles, roles, goals, projects and meetings, and the working documents attached to those roles.
The two tools are not connected by a published integration: they are two systems, each with its own layer. For organisations that want a single project tool linked to their Nextcloud files, OpenProject is the documented option.
The simplest way in is to start small: one team or one entity describes its roles and goals in Talkspirit, and keeps filing its documents in Nextcloud. In the words of the home page: “Start with the capability you need today. Add governance, collaboration and communication as your organisation grows, all within the same Organisational Operating System.”
Which option for which situation
The right choice depends on the layer you are missing, not on the tool’s name.
- Describe who decides and who holds which role, alongside Nextcloud: Talkspirit.
- Link projects to your Nextcloud files: OpenProject.
- Leave self-hosting with end-to-end encrypted files: Tresorit.
- Put everything with a Swiss host: Infomaniak kSuite.
- Keep self-hosting with another open source file server: ownCloud.
- Keep self-hosting with a French vendor: Pydio Cells.
- A managed collaboration platform hosted in Germany, with project management: Stackfield.
Not a tool. Your Organisation’s Operating System.
FAQ
It depends on the layer you want to replace. For files: ownCloud or Pydio Cells on your own servers, Tresorit with end-to-end encryption, Infomaniak kSuite hosted in Switzerland. To complement Nextcloud rather than leave it: Talkspirit adds the organisation’s structure, OpenProject adds project management.
An open source collaboration suite, published in Stuttgart, that combines files, chat and video, calendar, mail and online office tools, on your own servers or with a hosting provider. Enterprise subscriptions start at 100 users; below that, the vendor offers Nextcloud One, hosted in Germany.
A layer that describes the organisation: roles, accountabilities, goals and decisions. The Nextcloud Hub page does not present one. Talkspirit provides that layer, with circles, roles, goals, projects and documents attached to roles, hosted in France and Switzerland.
Not for self-hosted file storage: Talkspirit sits alongside it. It brings a common structure to the organisation (roles, goals, projects, communication) where Nextcloud stores the files and runs the office tools.
ownCloud.online and Stackfield host in Germany, Infomaniak exclusively in Switzerland, and ownCloud or Pydio Cells install on your own servers. Talkspirit, which complements Nextcloud, hosts in France and Switzerland, beyond the reach of the Cloud Act.
Yes, in two ways: by installing the server yourself, or with Nextcloud One, the vendor’s managed service hosted in Germany. Enterprise subscriptions start at 100 users. Without an IT team to run a server, the managed service avoids self-hosting.
