"Managing a Project Group with Partners" — Bouches Du Rhône Tourisme

Gilles Rolland, Resources Manager at Bouches Du Rhône Tourisme  shares his experience using Talkspirit to coordinate a group of partners around a shared project.

Bouches Du Rhône Tourisme in a Few Words

Bouches Du Rhône Tourisme is a tourism development agency working for the Bouches-du-Rhône departmental council. Our work covers two areas:

  1. Promoting tourism across the Bouches-du-Rhône département
  2. Tourism engineering: helping local professionals develop their activities.

Within Bouches Du Rhône Tourisme, I manage the Resources team, responsible for offering digital solutions that enable our partners to collaborate on business projects.

Why we chose Talkspirit

Our exchanges with partners used to happen via email, information was scattered, and there was a lot of data loss.

We had no way to maintain a centralised list of information; collaboration was limited. As soon as we launched this joint project, we understood we needed an online collaboration platform.

We chose Talkspirit for a new project in which we had no collaborative tool to communicate with our partners. The project is called “Le contrat Destination les arts de vivre en Provence”, and involves 23 partners.

How We Use Talkspirit

We use Talkspirit to engage all staff from the funding partners who drive the work associated with our projects.

This group lets us share information and news by posting messages and documents. We also manage the project’s calendar on the platform.

With Talkspirit, we have a genuine collaborative tool—a permanent space for exchanging with our partners. Everyone can follow the full history of our conversations on the platform.

We no longer need to maintain a contact database. We simply create user groups on the platform and post information tailored to each group.

For the partners who use the platform, it works very well and enables us to collaborate in a highly relevant way.

I’m about to publish a document to gather feedback on a graphic charter. This kind of publication will generate many responses from our different partners. The platform will allow us to centralise the entire conversation.

For reference, all communications take place exclusively on our Ensemble Provence platform. All partners must log in to stay up to date on projects.

Talkspirit Adoption

Some partners continued to contact us by email. We ran awareness sessions to encourage them to log in to the platform and share their content there.

The role of the community manager for this type of project and community is essential. You need to carve out time to support users.

Our Talkspirit Recommendation

We recommend it to all organisations that want to foster information sharing, particularly around project management involving several dozen contributors.

In addition, I would advise pairing the rollout of this type of tool with a strong change management dimension in collaborative practices, by dedicating time to facilitation.
