L’Institut G9+

L’Institut G9+ is a think tank on the subject of digital technology that was created in 1995. The Institute brings together 27 alumni communities from diverse backgrounds (engineering schools, management schools, political science and universities), each represented by 2 active volunteers, making a total of 50,000 digital professionals. Major private or public actors and relevant centres of expertise are naturally part of its environment. Its insights, debates and conferences focus on the following issue: how can digital transformation be a lever for social progress for companies?

The particularity of L’Institut G9+ is to bring together volunteer members, on the fringe of their professional activity, who exchange ideas mainly remotely and rarely in real time.

Every month the Institute meets to exchange ideas, develop projects and organize events. This presents internal challenges, when it comes to:

  • reconciling the agendas of high-level professionals – who are very busy
  • sharing of documents,
  • initiating/maintaining conversations,
  • scheduling of appointments internally or with third parties.

Previously, members of L’Institut G9+ mainly used email. This generated laborious and sometimes endless exchanges, which was not very effective for volunteers who at the same time had a sustained professional activity. L’Institut G9+ had to find another way: an internal social network, via talkspirit.

Better sharing and accessibility of information

As an association, L’Institut G9+ must make available to its members a number of documents such as the statutes, the internal regulations, or minutes of meetings. Storing documents in a classified/structured document manager allows everyone to easily find and access the information they need, including elements related to ongoing projects (which are easily identifiable)! This operation saves the Secretary General considerable time, as he no longer has to send documents by e-mail at each member's request. Following a meeting, for example, the minutes are published in the group dedicated to the event, and everyone can access them at any time.

Save time in organizing events

The organization of events of L’Institut G9+ requires bringing together about fifty members each month, a very tedious task indeed. Thanks to group conversations in talkspirit, meetings are easier to manage and exchanges are better structured (no more hundreds of emails to read!). Prior to each meeting, details are shared in a group dedicated to the event and discussions around the agenda are managed in a structured way. Finally, thanks to the shared calendar (and connected to personal calendars such as iCal or Outlook), all meetings are recorded. No more excuses for forgetting a meeting!

More participation from members

Thanks to the "online polls" feature, members who cannot physically attend meetings can nevertheless take part in the association's debates and decision-making. Everyone can make their voice heard and influence the association's choices / directions, which would not be the case if the meetings were 100% attended in person. Finally, when a decision is voted on, the association keeps track of the votes and iterations that led to the decision. All this clearly increases the sense of belonging to the network and the involvement of its members.
